Rob spent years inside large dental service organizations as a systems architect, watching clinics leave millions on the table through preventable revenue leaks. After advising 50+ clinic owners across dental and allied health and participating in multiple M&A processes, he saw the same patterns repeat across physio, chiro, massage, and acupuncture practices. He built Caretrics to automate what clinic owners were doing manually.

Reminders and policies prevent no-shows. The waitlist recovers the ones that happen anyway. A clinic running 350 appointments a month with an 11 percent no-show rate has 38 missed slots; filling 60 percent of them via the waitlist recovers about $2,185 in revenue every month, on a setup that takes 10 minutes.
This guide is one of five tools in the Jane.app No-Show Reduction Toolkit. It pairs naturally with SMS and email reminders (which create the cancellation signal) and the cancellation policy (which gives patients the incentive to cancel early enough that the waitlist has time to fill the slot).
Jane already has a waitlist. Most clinics never turn the auto-notify on, which is the part that does the actual work.

The basic flow:
The whole engine runs on the auto-notify toggle. Without it, the waitlist is a static list nobody looks at.
Navigation: Settings → Waitlist → Auto-notify.
Turn this on. This single setting is what converts the waitlist from a passive list into a fill-the-slot machine.
When the SMS goes out, set an explicit response window. We recommend two hours.
A spot just opened up at [Clinic Name] today at [Time].
First to respond by [Window End Time] gets the slot.
Reply YES to claim it.
The response window does two things: it forces a fast decision, and it lets your front desk move on if nobody claims the slot.
The waitlist only works if it has people on it. Front desk targets:
For high-demand providers, aim for 5 to 10 active waitlist entries at any given time.
This will happen, especially in the first 60 days while the waitlist is still building. Two backups:
For a clinic with 350 appointments per month and an 11 percent no-show rate:
This is one of the few no-show tools where the math is purely upside. The waitlist does not cost you anything. The slot was already empty.
