The Caretrics handbook
A clearer view of the business. More room for care.
This is how we think about helping a busy clinic: prepare what matters, make the next step easier, and come back to see what changed.
Your clinic is busy. The business still needs you.
You can have a full day of appointments and still wonder how the clinic is doing. An unpaid balance needs a second look. A patient has cancelled and has no next appointment. A change in the numbers raises a question you haven’t had time to explore.
Caretrics helps owners and managers of health and wellness clinics using Jane.app make sense of that work. We bring clinic performance and revenue-related follow-up into view, so you can focus on the decisions that need your judgment.
The preparation should make your life easier. Reading the findings and deciding that things are on track is a useful result.
Give a finding somewhere to go.
A report becomes useful when you understand what it means for your clinic. A follow-up becomes useful when the person doing it has context, a next step and somewhere to record what happened.
- PrepareCaretrics brings the evidence and suggested focus.
- DecideThe clinic decides what matters and whether to act.
- Follow throughThe right person carries the work forward.
- LearnWhat happened informs the next review.
This connects the owner’s view with the team’s work. The biller can keep an unpaid claim moving. The front desk can review a patient follow-up. The owner can see the bigger picture without having to personally chase every item.
Fit the review around the work.
The right rhythm depends on the question. A weekly clinic view offers a timely check on performance. A deeper monthly review makes room to understand patterns, consider practitioner growth and decide whether the current approach still makes sense.
- For the owner
- Prepared findings, a suggested starting point and the supporting evidence. More time for judgment, less time piecing reports together.
- For the team
- Focused follow-up work with its history and next date. People can continue the work between reviews.
- At the next review
- See what was done, what changed and what remains open. Keep a sound approach, adjust it or investigate further.
A monthly owner review can be enough when the team’s work is moving well. A closer weekly check can help when a specific issue needs attention. Every review should earn the time it takes.
Be precise about what we know.
A pattern is a reason to ask a better question. It does not tell the whole story. Caretrics brings the evidence into view; the people who know the clinic give it context.
- An outstanding balance is work to review. It is not a promise of money the clinic will collect.
- A completed follow-up records an action. A payment or a later booking is a separate result. A change after follow-up does not, by itself, prove what caused it.
- A patient without another booking needs context. The clinic considers the patient’s wishes, the care provided and its own policies before deciding what to do.
- Missing information should stay visible. The period, scope and available evidence matter when interpreting a finding.
These distinctions help the team make a sound decision and judge progress fairly. They also leave room for an honest answer: we need more information.
Keep Jane at the centre of clinic records.
Caretrics works alongside Jane, which remains the clinic’s system of record. Caretrics uses authorized, read-only access to prepare reports and support follow-up. It does not write changes back to Jane.
The clinic stays responsible for patient and payer contact, billing decisions and clinical judgment. Caretrics does not submit claims or collect payments on the clinic’s behalf.
Our data transparency page explains what Caretrics accesses and keeps. Caretrics is independently developed and is not affiliated with or endorsed by Jane.
Build on what helps in a real clinic.
What we focus on today
Prepared clinic reviews, unpaid-claim follow-up and patients who may need follow-up are the work at the centre of Caretrics. The diagnostic gives the owner a place to start. The product helps the team carry the work forward and keep a record of what happens.
What we are building toward
Our ambition is to help clinics learn from the way they operate: understand recurring patterns, improve a process and make the next review more useful. New capabilities have to prove that they help people do important work with less effort.
We want Caretrics to feel like a thoughtful operating partner. Useful preparation, clear recommendations and honest conversations about what is working. A stronger business should leave more room for the people delivering and receiving care.
